Microsoft Teams Tutorial – Creating Teams and Setting Up Video Calls
This Microsoft Teams tutorial will cover creating a team, setting up video calls, and adding a document library. We’ll also cover how to create and invite people to meetings. Hopefully, this tutorial will help you start using Teams in your office. Then, you can move on to using the different features.
Create a team
The first step in creating a team in Microsoft Teams is to choose a team type. The team type determines the initial configuration and future capabilities of the team. Generally, teams are made up of people working in the same department, but you can create a team with more than one person.
You can also choose to create a team from a template. Once you have chosen a team type, you will need to add users. You can also add security groups and distribution lists to a team. In addition, you can add people from outside your organization. By default, teams are private, but you can also make them public to invite others. The teams that you create will show up in the left-hand sidebar.
You can invite team members and allow them to view and share information. You can also follow specific team members and send them messages and notifications. You can also set a team code, different from individual codes. The team code will allow team members to view the team without approval from the owner.
Once you have selected a team name, you should ensure that it doesn’t duplicate another. This may confuse. Also, some team names are reserved for central departments. In that case, you can add a prefix or suffix related to that department or a pattern to differentiate them. Team names will generally have a “-GRP” extension by default. However, you can contact the ITS Support Center for approval if you have any special requirements or a specific team name.
Teams can be private or public. You can add guest users to your team using the Microsoft Teams desktop application. To invite guest users, you must have a Microsoft Teams license. Check this by accessing your Microsoft 365 admin center.
Invite people to a meeting
You can schedule and invite people to a meeting in Microsoft Teams. There are several ways to do this. You can use the email invite option or copy and paste a URL. In either case, the recipients will get a pop-up and receive an email. You can also use external email addresses.
The first step is to send the meeting invitation. It should include instructions on preparing for the meeting and links and material to print out. Next, you can choose the person who will present at the meeting. When you’ve selected the person, you’ll see a drop-down option with the presenter’s name. You’ll also see a “Join Microsoft Teams Meeting” button at the bottom of the invitation.
To invite people to a meeting, you can send an email or a link to the meeting in Microsoft Teams. You’ll need an account with Microsoft Teams to send the invite. Microsoft Teams will send the invite link through Outlook or email. This is an alternative to the automated invite.
You can also add new people to a meeting during meeting by using the email or name field. Once you’ve invited people to a meeting, you’ll see their names and email addresses on the right side of the screen. Alternatively, you can share the invitation link with your team members by using the shared link.
In Microsoft Teams, the process is very similar to inviting people to a meeting in Outlook. The only difference is that you can invite optional attendees. They’ll receive an email inviting them to join the meeting. Guests from outside your organization won’t have access to the channel calendar, so they’ll have to be added to the meeting invitation. You can also invite people to the meeting by right-clicking the event. In Teams meetings, you can also RSVP for the event.
Add a document library.
In Microsoft Teams, you can add a document library. This feature lets your team members work on shared files and view lists. They can even add comments. You can link the library to the Microsoft Teams channel if you want. You can also use a SharePoint library in Teams.
Microsoft Teams also lets you create folders inside each channel and upload files to those folders. By default, Teams will add the files to the root folder. However, you can move the files to another folder later if needed. You can also share the link to the file and attach it to a post. Alternatively, you can paste the link by pressing CTRL + K.
Once you’ve added a document library to Teams, you can start adding items from your list. You can also add documents and pages from your SharePoint site. To do this, you need to use the SharePoint tab in Teams. This tab allows you to browse your list, add items, and open them in SharePoint.
Depending on the type of data, a document library may contain text, images, or video files. You can manage the documents in the library by managing permissions and views. You can even add columns to organize your files. And as a bonus, you can view the files differently.
You’ll need to make sure you name your folders appropriately. The Document Library is a part of your Microsoft Teams Site Collection, so it’s best to stick to intuitive names. This will help you categorize files in a better way and improve the default tagging. You should also avoid using special characters, such as spaces, in folder names.
Start a video call
To start a video call in Microsoft Teams, open the Microsoft Teams app and navigate to the video meeting icon. This is located in the top right corner of the Team channel. Once there, click on “Join now” or “Meet.” The video meeting will open up with a small window that shows the names of those involved.
You can also make group calls from the Teams app. Private group calls are private and won’t appear in the team conversations. You can begin a group call by clicking “New chat,” and then typing in your contacts’ names in the “To” field. Up to 20 people can be on the same video call. Once more than 20 participants are in the group, calling buttons will be disabled.
If you are the meeting host, you can add new participants to the call by clicking on the meeting link. First, however, you need to enable the “People” sidebar to see the names of the people waiting to join. Then, if you see a person waiting in the virtual lobby, you can select them and add them to the call.
You can invite external guests to your meeting by sending them a link. If you have a meeting link for external guests, email it to them directly. They can join the meeting without waiting in a virtual lobby. Another way to add external guests is manually adding them to the meeting.
Delete a chat
When starting a new Microsoft Teams chat, the first question you should ask yourself is, “Can I delete a chat?” Deleted chats are not visible to other team members. However, if you’ve shared files, links, or messages with other teammates, you can’t delete them automatically. Instead, you will need to change the permissions of those shared files.
If you are unable to delete a chat, you can edit it. To do this, click the three dots next to the message you wish to delete. You can then enter or remove the owner of the message. Unfortunately, Microsoft hasn’t yet made it possible to delete all messages at once. However, it’s working on adding new options, including the ability to delete individual messages.
First, open the Microsoft Teams application on your computer. Next, you’ll need to sign in to your Teams account. Once logged in, find the message you wish to delete. Next, hover your mouse over the message and click the three-dotted icon next to the emoji.
Using the context menu, you can also delete a chat in Microsoft Teams. This is an option for users who are part of a team but do not have the right permissions. If you don’t have the rights, you’ll need to ask your team administrator. If they grant you the right to delete a chat, you’ll be able to do this.
Microsoft Teams also allows you to hide and delete individual messages. This can be done using the desktop version of the app or the mobile app. However, you should know that deleting a chat is permanent and can’t be undone. To avoid permanent deletion, you can hide conversations, so they won’t be visible until the other person posts them again.
